About the role
The Workplace Services Team is responsible for delivering people-centred support services, across the following functions: Mailroom and Courier Services, Concierge and Office Services, Building Maintenance and Security.
As the first point of contact for all incoming visitors, team members and clients, the role of Workplace Services Assistant - Concierge is pivotal in creating a positive impression and enhancing the workplace experience.
Reporting to the Workplace Services Manager, you would be used to working independently and responsible for: managing the corporate switchboard, visitor check-in, office maintenance and security, meeting rooms and front of house (FOH) area. This may include physical room set ups, assisting with audio visual equipment, reporting issues and faults, maintaining the kitchen and coffee machine, provide administrative support, and assist with special projects as needed. Working hours are Monday – Friday 8.30-5pm.
Duties
- Meet and greet visitors, team members and clients.
- Take ownership over upkeep of the Front of House (FOH) area.
- Answer and transfer incoming calls to the switchboard.
- Manage Meeting Rooms, Kitchens, and office spaces.
- Workplace support by responding to inquiries and requests both in person and via email.
- Report and log any faults and maintenance issues and follow up.
- Ordering and ensuring all office and kitchen consumables are topped up and available.
- Manage security system and issuing security access passes for the building. Skills and experience.
Skills
- Ability to interact professionally and courteously with clients, employees, and visitors.
- Patience and problem-solving skills to handle inquiries or complaints effectively.
- Clear and confident verbal and written communication.
- Strong ability to prioritize tasks, manage appointments and attention to detail.
- Proficiency in managing multiple responsibilities simultaneously without losing focus.
- Strong computer skills with intermediate MS Office Suite.
- Quick thinking and solution oriented to address unforeseen issues or challenges.
- Comfortable working in fast-paced environment and adapting to unexpected changes.
Experience
- Experience in similar positions such as a front desk or concierge operations.
- Hospitality experience is highly valued.
- Proven ability to manage administrative tasks, answering phones and ordering supplies.
- Experience coordinating meetings or events can be valuable.
